The Overall Picture

Epro is a web based clinical information management system. Its key advantage is that it's designed from the clinician's viewpoint , it's intuitive design understanding the needs of doctors and nurses and how they think.

Epro enables doctors and other frontline healthcare professionals read and write access to full patient records, treatments and lab reports at the point of care, or from anywhere else with an appropriate web connection.

Epro features, innovative technology which makes it an extremely cost effective and powerful solution, even for smaller medical organizations. In everything from its web based thin client front end to the digital ink enabled tablet PC version, all the features of Epro have been thoughtfully designed not only to meet the needs of clinical and management professionals, but also to fit in with existing working practices and the guidelines for CUI (Common User Interface) provided by Connecting For Health for the NHS in England and Wales

One of the primary reasons for failed implementations of new clinical software systems is poor uptake by clinicians. We have addressed this problem head on by providing a solution that allows each individual user to input data using a method that is right for them. Users can enter medical information through traditional keyboard input, write directly on the screen using a tablet PC via the EproInk tool, enter data using customizable electronic forms or simply dictate information straight into the system for transcription at a later time via the EproSpeech too - a big helping hand for medical secretaries.

Epro's interface evolves as you use the system. Epro 'learns' the common tasks performed by each user, making it faster to perform those tasks in future. For instance when prescribing a new drug, Epro will suggest prescriptions based on those previously made by the user.

Epro's powerful audit and query tools enable the clinician to see who entered what data or made which diagnoses. Epro performs fast, powerful queries: for instance in the event of a drug recall you can instantly find the patients who may be affected. These query results may be exported to Microsoft Office for further manipulation.

Epro also provides administrators with the tools and data to manage clinics, departments and hospitals more efficiently, critical to helping them to truly realise the vision of a department running smoothly and efficiently. Every action performed by an Epro user is recorded to produce a complete audit trail which may be queried to extract user performance information. With our clinical coding module, every diagnosis is recorded with its international standard ICD-10 diagnostic code or As with audit data, all clinical information can be queried to produce detailed report information which may then be exported in standard formats to 3rd party tools for further analyses and/or integration with existing report templates and other data.

Epro can fully integrate with Microsoft Word (97 and above plus) to automatically generate letters and reports from clinical information. This means that common documents such as discharge summaries and patient invoices can be created instantly and are saved on the system permanently. Users with sufficient permission can edit their own templates and each user only has access to those they need to use.

Clinical data can also be restricted so that non-clinical staff only have the patient information required to perform their role. Restrictions can be placed on individual users, departments or clinical specialty.

Epro's prescription module can be linked to either a full international drugs database or customised to list only those drugs available in a specific pharmacy stock. This can integrate with a pharmacy stock control system so that only those drugs in stock are prescribed.

Epro has been found to provide significant benefits in decreasing hospital costs and improving patient care. Using Epro, the clinician is guaranteed to have the entire patient record in front of them. This ensures full knowledge of their medical history, allowing the clinician to focus on the current problem. This leads to improved clinical care and the strong reputation that comes with it.

Epro also offers substantial, practical benefits and reduced costs when compared with paper based systems. Electronic versions of the clinic's existing paper forms can be filled in and notes, sketches and dictations can be added with ease.

Epro can integrate with any existing system. We have experience of integrating Epro with existing hospital information systems (PAS, PACS, RIS and lab systems) either through direct database access, web services or HL7 interfaces. We are confidant that because Epro can export information, investment in Epro is safeguarded when compatibility with future systems is planned.

IT Managers will also find that Epro has been designed for performance, scalability and maintainability. Epro is a rich web application, meaning that customers get the benefits of centralised deployment (only one computer needed to perform software updates, centralised error logging, low client PC requirements) whilst still maintaining a high level of performance and usability. Additionally, users can be authorized to use the system off-site using appropriate Authentication, allowing, for example, satellite clinics and insurance companies to view restricted patient information securely.

Epro can be accessed through any client with internet explorer, with specific enhancements for Tablet PC clients and disconnected PDAs. A wired or wireless network can be used without any noticeable performance difference. When issues do arise, our automatic error reporting tool can send detailed technical information to us meaning that we have the information about the error as soon as it happens, allowing us to deal with it as quickly and efficiently as possible.

System Architecture

Epro has been designed from the outset to be both cost effective for medical organizations and able to provide the most up to date human interface Technologies. By basing the system on the use of thin web clients, Epro allows customers to use their existing computer hardware with minimum deployment costs as well as providing advanced support for newer devices such as Tablet PCs and PDAs.

System Architecture

Specification Requirement

Web server requirements: software

  • Microsoft Windows 2000 or above.
  • Microsoft Internet Information Services 5.0 or above.
  • Microsoft .NET framework 1.1 or above.

Web server requirements: hardware

Hardware specification of the web server varies depending on the site requirements (number of concurrent users, network speed and database specification).

We can offer consultancy regarding the appropriate level of hardware required to ensure a high quality of service, minimal downtime and secure data backup appropriate to your needs. Table 1 provides a guide to the minimum specifications based on the number of users.

Table 1: Guide to web server hardware requirements (based on an Intel® or compatible processor)
Number of concurrent users Minimum recommended specification
5 1 GHz Processor, 1GB RAM
100 3GHz Processor, 2GB RAM

We also recommend that the server has UPS (uninterruptible power supply) facilities, appropriate backup and hard disk space reflecting the storage requirements of the site – as a guide, you should budget between 10 and 100MB for each patient record.

Database requirements

In an optimal installation, a dedicated server machine should be used to host the database. However, in small sites it is possible to use one machine as both the web server and the database server. Epro currently uses the industry standard Microsoft SQL server internally, but can link to other databases such as Oracle and MySQL.

As with the web server, hardware requirements are site-dependent and we are happy to provide consultancy, on request.

Network requirements

Epro has been designed for the web using Ajax technologies, making it very tolerant of slow networks. For Tablet PC access, a wireless network is recommended. Epro may be accessed offsite via an internet connection is required.

Training & Support Services

Because Epro is web-based, the costs of implementation, training and support are significantly reduced as it is available via any internet-ready PC.

Installation

Bluewire takes pride in providing a quality installation service so that installing a new system will not be a traumatic experience! This begins with the installation of leading-edge software running on the latest, high specification hardware supplied by top manufacturers or alternatively, the organizations own, compatible equipment. During the implementation process, we work closely with the local IT team and using information provided by the organization, we customise each system so that from day one Epro has the entire electronic patients' records ready to access, customised forms, drug formularies, prescribing protocols etc.

The Clinical Speech Intelligence Software will be integrated either with the full Epro solution or the existing PAS system, so that clinicians' digitally dictated letters from the first day, are auto-transcribed and completed with the correct patient and GP details.

Training

Next, our specially trained implementers then provide comprehensive, on-site training to cover both administrative and clinical staff. Our training team consists of both clinician and technical experts, enabling any issues to be addressed on the spot. Ongoing training is performed as required and when new features are added to the system. In addition, Epro includes a comprehensive help system and video tutorials. Printed user guides are also made available. We are happy to work with organistaions in the preparation of their own 'in-house' style training materials.
